BEFORE YOUR ASSIGNMENT
CONTRACT & ASSIGNMENT CONFIRMATION
Selected contractors are required to complete and acknowledge our CFA Terms of Agreement and other assignment-specific documents before the trip is considered fully confirmed.
Please review all emails sent by our Operations team carefully and sign requested forms promptly.
COMMUNICATION DURING THE TRIP
- Maintain professional and timely communication with the flight crew and VVIP Operations when necessary.
- Use the designated "Connection Email" thread for assignment-related correspondence and Reply All as instructed so the appropriate team members remain informed.
- If an issue arises that may affect the client, crew, schedule, service, or assignment, notify VVIP's Operations Department promptly rather than waiting until the end of the trip.DISCRETION & CONFIDENTIALITY
- Protect the privacy of every client and passenger. Passenger identities, itineraries, conversations, photographs, personal preferences, and other private information should never be shared outside of authorized operational communication.
- Avoid posting any client, aircraft, location, or trip-related content on social media.Before reporting for an assignment, confirm that you have reviewed the trip sheet, trip information, and are prepared with everything required for a successful flight. If anything is unclear, contact the VVIP Operations Team before your assignment begins.
DELIVER THE VVIP STANDARD FROM DEPARTURE TO ARRIVAL
While on a VVIP assignment, your priority is to provide a safe, discreet, polished, and highly personalized experience while following all client, operator, and aircraft-specific requirements.
Remain attentive to the cabin, anticipate guest needs, communicate professionally with the crew, and use sound judgment throughout the operation.BEFORE DEPARTURE:
Complete required cabin and equipment checks, remain familiar with emergency procedures, and ensure the cabin is secure and prepared for each phase of flight.
Follow all operator and aircraft-specific procedures provided for the assignment.
Maintain a clean, organized, and presentation-ready cabin throughout the assignment.
Service should be attentive and personalized without being intrusive.
Anticipate guest preferences, maintain appropriate pacing, and continuously monitor the cabin environment.
Before landing, restore the cabin to the highest possible standard and prepare for the next segment as required.
POST FLIGHT
- Close out every assignment with the same attention to detail you brought onboard.
- Once the aircraft arrives, complete the cabin reset, secure all trip-related materials, organize receipts and expenses, and finalize any required communication with VVIP Operations. A thorough closeout helps ensure a smooth handoff for the next flight and keeps the assignment properly documented.ARRIVAL & CABIN RESET
- Before leaving the aircraft, make sure the cabin is clean, organized, restocked as required, and ready for the next segment or crew.
- Check the galley, cabin, lavatories, storage areas, linens, service ware, and passenger spaces.
- Remove trash, secure supplies, and leave the aircraft in accordance with operator or client expectations.
TRIP CLOSEOUT
Complete all required post-flight steps promptly after the assignment. This includes submitting your post-flight and handover reports, uploading required photos, completing client-specific closeout procedures, and documenting any outstanding operational items.Before considering the assignment complete, make sure VVIP's Operations Department has received all required reports, documentation, and updates.
Use the designated "connection email" thread when applicable, and promptly report any unresolved issue that Operations needs to be aware of following the trip.
INVOICES & EXPENSES
All contractor invoices, expense reimbursement requests, receipts, and supporting documentation for services performed through VVIP Global Agency Services must be submitted using the official Invoice Request Form found below.- All invoice requests must be submitted within 48 hours of trip completion.
- All required receipts and supporting documentation must be included at the time of submission.
- Incomplete submissions or submissions received after the required timeframe may result in delays in processing.Invoice and reimbursement requests submitted by email or through any method other than the official Invoice Request Form will not be accepted or processed.
